 Job Title:  Administrative Assistant                              

Pay Rate:  $13.00 - $15.00

Status: Full-time, 35 hours/week

 

SUMMARY:  Provides administrative assistance to the BHELC Director and Assistant Director.  

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:  To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill and/or ability required. Specific duties will vary based on the needs of each individual classroom and may include the following:

·         Provide administrative/secretarial support to Director and Assistant Director

·         Answer phones, provide information to callers, take and deliver messages and direct callers to appropriate individual. 

·         Greet and assist visitors, answer inquires, provide information and direct as appropriate.

·         Compose, type, word process and/or format correspondences, handbooks, reports and programs.

·         Coordinate meetings, events, fundraisers.

·         Take, type and distribute meeting minutes.

·         Schedule tours and appointments.

·         Maintain filing systems.

·         Maintain up-to-date center and office supply inventory.

·         Maintain BHELC Website, Facebook page and Storypark Community postings.

·         Diffuse conflicts and/or difficult situations as needed in the school office.

·         Monitor students sent to office for disciplinary and/or health reasons.

·         Assist in classrooms as needed.

·         Maintain all licenses and certificate requirements needed to maintain your professional standing.

·         Other duties as assigned by Director.

EDUCATION AND RELATED WORK EXPERIENCE: 

  • High School diploma or GED
  • Minimum of 2 years office experience
  • Experience working with Early Education children and families
  • Step 5 on the Oregon Registry prefered

 

LICENSES, REGISTRATIONS or CERTIFICATIONS:

 

  • Criminal background check required for hire
  • Pediatric CPR and First Aid certifications
  • Food Handlers certification
  • Recognizing and Reporting Child Abuse and Neglect
  • Oregon Registry 

 

 

 

 

 

TECHNICAL SKILLS, KNOWLEDGE & ABILITIES:

 

  • Strong customer service and public relations skills
  • Strong ability to collaborate with other administrators, teachers and families on a regular basis.
  • Excellent critical thinking and problem solving skills
  • Excellent time management, organizational and prioritization skill.
  • Knowledge of Rules for Certified Child Care Center
  • Ability to maintain confidentiality in all aspects of the job
  • Ability to manage multiple tasks with frequent interruptions
  • Strong ability to manage multiple priorities
  • Ability to diffuse and manage volatile and stressful situations
  • Ability to promote and follow CCC rules and regulations as well as First Church of the Nazarene policies and procedures
  • Strong written and verbal communication skills.  Able to communicate, interact and work effectively and cooperatively with all people including those from diverse ethnic and educational backgrounds.
  • Ability to recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment and report unsafe conditions to the appropriate administrator

 

MATERIALS AND EQUIPMENT OPERATING KNOWLEDGE:

 

  • Operating knowledge of and experience with personal computers
  • Operating knowledge of and experience with Microsoft Office Suite
  • Operating knowledge of and experience with typical office equipment, such as telephones, copier, fax machine, E-mail, 10-key, etc
